Quickstart Guide

Steps to follow before you can dispatch your first ride

  1. Choose the area settings (map center and time-zone) from PREFERENCES > GENERAL
    • Make sure the company-wide settings for Culture (UI language, Currency, Measurement formats) is set to what you want (English - US is set by default);

    • Optional You can mask the Phone Numbers, so that the driver and passenger cannot see each other’s numbers to prevent them from contacting in the future. Please take into account that this will prevent them from communicating in the case of need during the ride as well;

    • Optional You can check / uncheck the option to respond to the Future Reservations automatically, without the need of your dispatcher to manually accept them from your dashboard. If checked, your company will always automatically offer the ride to any future time passenger app requests. If your company is picked to service the ride, it will be dispatched to your available drivers 1 hour before the pickup time. This only applies to the rides with Future Time pickups;  

  2. Create a Zone(s) of operations from PREFERENCES > ZONES

  3. Create a Pricing Rule(s) from PREFERENCES > PRICING

  4. Create Billing Rules from PREFERENCES > BILLING RULES
    • REVENUE rules contain the split tables that dictate how the revenue (fare, tips, miscellaneous ) is shared between a driver and the company. You can create multiple rules (e.g. for Driver_Contractors_Fare, Driver_Owner_Fare, Driver_Owner_Tips, etc.) and assign them on a driver by driver basis;

    • EXPENSES rules contain the split tables that dictate how the expenses (tolls, parking, fuel, carwash, miscellaneous ) are shared between a driver and the company. You can create multiple rules (e.g. for Driver_Contractors_General, Driver_Owner_Tolls, Driver_Owner_Misc, etc.) and assign them on a driver by driver basis;

    • COMPENSATION rules can be setup to automatically debit the driver’s running balance (and display on their ledger) with any specified amount. Compensation is a periodic wage (hourly, daily, or weekly) in addition to any revenue share that is being setup using the REVENUE rules;

    • BASE FEE rules can be setup to automatically credit the driver’s running balance (and display on their ledger) with any specified amount. Base Fee is a periodic charge (hourly, daily, or weekly) in addition to any revenue and expense share that is being setup using the REVENUE and EXPENSES rules; 

  5. Add a Vehicle(s) from FLEET > ADD VEHICLE
    • VEHICLE INFORMATION tab contains mandatory information fields. Please fill them out. Optional If your town has a mandated areas in which only the vehicles with the taxi-meters are allowed to operate, and you have such vehicles in your fleet, you can check the Meter In The Car checkbox to allow a specific vehicle receive ride requests within such area;

    • OWNERSHIP tab contains an indicator for the type of the vehicle ownership. If House  is selected (e.g. if the company owns the car), then this vehicle can be assigned to any driver before they start their shift.  If Owner - Operator  is selected (e.g. if the driver owns the car), then this vehicle can be permanently assigned to the drivers who are Owner-Operators and will be unavailable to others. Assigning a car to that driver before each shift will not be necessary anymore;

    • TITLE, TLC, INSURANCE tabs are Optional and can be used to keep the vehicle info at hand;
       
  6. Add a Driver(s) from PREFERENCES > ADD DRIVER
    • GENERAL tab contains the driver profile information and allows you to create their login credentials (which you need to pass onto the driver). Once you save the information on the GENERAL tab, you can move on to fill out the rest of the tabs;

    • LICENSES tab contains the fields for entering the driver’s license information. Depending on the location and local regulations, requirements for different licenses that drivers need are different. However, drivers need to posses at least one driver’s license. This is reflected in the form fields that are on this tab;

    • BILLING tab is where you can assign specific REVENUE, EXPENSES, COMPENSATION, and  BASE FEES rules to the driver (rules that you have created in Step 4). These rules will dictate the accounting rules for this driver’s end-of-shift balances and their whole ledger;

    • FILTERS tab includes Time Blocking, which allows you to prevent the driver from logging into the system during the time periods you specify; and Applicable Tiers which are useful if you have Corporate clients with billable accounts with possibly different pricing zones and rates. You can either allow or prevent each driver from receiving such jobs by checking corresponding Tier’s checkboxes;
       
    • VEHICLES tab is where you indicate the ownership type of the driver. If the driver is a contractor or just doesn’t own the vehicles they are driving, you can select the Contractor toggle. This will allow you to assign any vehicles designated as a House car to the driver, each time they are starting their shift. If you wish to avoid having to assigning a car each time, you can designate the driver as the Owner Operator and assign them a specific vehicle once (only the ones that were pre-designated as an Owner-operator cars). You can unassign these vehicles later, anytime you wish;       

  7. Recommended Connect your company account to Braintree and PayPal Gateways from COMPANY > GATEWAYS to be able to accept non-cash payments like card-in-hand (PayPal Here POS) and mobile payments (Braintree).

  8. Use Dynamic Help pins for tips, explanations, and guides. We have implemented a dynamic help system that overlays pins (red dots) all over the admin panel to give you explanations for each element and tool you might need. You can turn it off or back on anytime you want from the drop-down menu at the upper right corner of the site.
